Booking Terms & Conditions:
‘Dynamic’ – Referring to the Dynamic Entertainments.
‘Client’ – Referring to person making the booking.
DJ Hire
1. Booking Policy: To secure a booking, Dynamic requires the completion of the booking form and a non–refundable deposit of £100.
2. Payment: All outstanding monies must be paid to Dynamic on or prior to the event, by Cash or BACS unless otherwise agreed.
3. Cancellation Policy: If the Client cancels the booking, the non–refundable deposit will not be returned. In the unlikely event that Dynamic cancels the booking, a full refund will be given and Dynamic will do it’s best to source alternative supplier.
4. Change of Date Policy: If the client needs to change the event date, Dynamic will do its best to accommodate the new date based on availability. However, Dynamic cannot guarantee availability and reserves the right to charge an additional fee for the change.
5. Event Details: The Client is responsible for providing Dynamic with all necessary details about the event, including date, time, location, and any special requests or
accommodations. Dynamic is not responsible for any issues or complications that may arise due to incomplete or inaccurate information provided by the client.
6. Setting Up: Sufficient time must be allowed Dynamic to setup equipment. Setup time will vary depending on the package hired but will be given in advance. If the function area is not located on the ground floor or is a substantial distance from the unloading area then you need to tell us in advance, as setup time may be longer. It is the responsibility of the Client to ensure that the package booked is suitable for the venue and for your event. No refunds, part of full, will be given for non–use of specific equipment that cannot be used due to any restrictions. It is the responsibility of the Client to ensure that there is an adequate provision of electrical power within ten meters of our set–up point. Dynamic require a minimum of 2 x 13amp outlets dedicated purely for our equipment (not in the form of an extension lead). Any damage caused to our equipment by an inadequate power supply or power interruption will be invoiced to you.
7. Liability: Dynamic is not responsible for any damages or injuries caused by the client or their guests during the event. The client agrees to indemnify and hold Dynamic Entertainment harmless for any damages or injuries caused by the client or their guests.
8. Entertaining: Dynamic take steps to ensure the services they supply exceed client expectations. However, on the very rare occasion – something may be wrong. If there is something that you are not happy with, at any point throughout your event, please ensure you tell Dynamic as quickly as possible so that they can put it right. Any instructions from the venue management regarding volume levels will take president over that of yourself. Any time extension request taken on the night to finish later than planned will be try to be accommodated, but is not guaranteed and is subject to an hourly charge of £50, paid prior to any extension as well as permission being sought from the venue management. Only Dynamic and its personnel may operate our equipment. Under no circumstances should the Client or guests tamper, move, interfere or touch any equipment owned by Dynamic. Any damage caused by a third party will be invoiced directly to the Client.
9. Model Release: On occasions, Dynamic we may take photographs of you and your guests at the event for our marketing. The Client agrees that it is acceptable to use any photos taken for any digital or printed marketing. If Client is not happy with this then they must advise in advance.
10. Safety: It is the responsibility of the Client to ensure that your guests conduct themselves in a proper manner at all times. Furthermore, Client is responsible for all guests and their actions. Dynamic will expect to go about our duties without harassment from person or person at your event, shall they tolerate violent aggressive or abusive behaviour. If the Dynamic team at any time feel that we are under threat either verbally or physically we reserve the right to suspend or terminate our services without notice. Any damage caused by unruly or alcohol related person or persons shall be invoiced to yourself. We cannot be held responsible for you or your guests being hurt or damage to clothes when near or touching any part of our equipment. We cannot be responsible for guests suffering from any illness or allergy.
11. Force Majeure: Dynamic shall not be held responsible for any delay or failure to perform its obligations under this agreement if such delay or failure is caused by circumstances beyond its reasonable control, including but not limited to acts of God, natural disasters, war, terrorism, or government action.
12. Dispute Resolution: In the event of any dispute arising under or in connection with this agreement, the parties agree to resolve the dispute through mediation or arbitration, as determined by Dynamic.
LETTER HIRE
1.General: It is recommended that you take out your own insurance from the time of delivery to the time of collection .The client assumes all responsibility once items are in their possession. The letters must be returned back in the condition they were received in. The letters must be handled with care at all times.
Unless agreed by Dynamic all letters/numbers are for indoor use only. All letters/numbers must be locked away over night. If stored in a locked marquee, please ensure they are away from the sides to avoid water damage in the event of heavy rain.
2. Prices: The prices quoted are for one day hire only including one overnight period. Subsequent day(s) will be charged at a daily rate unless a special agreement has been arranged prior to the event between the Owner and the Hirer.
3. Bookings and Cancellations: A holding deposit from £50 (depending on the number of letters/numbers) is required to complete your reservation. Booking requests can be made by email, telephone or via the enquiry form on our website. Bookings won’t be confirmed and as such the corresponding date(s) not reserved until the booking deposit or full amount has been paid.The deposit will be returned once they have been collected and inspected the following day. - Any damages will be deducted.
If the client cancels the booking the holding deposit (Maximum of £100) will not be returned.
In the unlikely event that Dynamic cancels the booking, a full refund will be given and Dynamic will do it’s best to source alternative supplier.

7. Delivery & Collection :Dynamic will deliver and set up the letters/numbers at the time and location as agreed by the client. The client will ensure a nearby 13amp outlets is available. The client will supply a point of Contact for the venue.
Dynamic will collect the letters/numbers the following morning unless agreed otherwise with the client.
8.Hirer Responsibilities:The client will be responsible for the Letters/Numbers from the point of delivery by Us. The following clauses outline the client’s responsibilities for the Letters, Numbers & Symbols.
The client must inform Us of any damage to the Letters, Numbers & Symbols at the point they are collected by Us.
Damages to the hired goods maybe charged at their full replacement value, details of which are available on request. No substitute item will be accepted by Dynamic.
Damages to the Letters, Numbers or Symbols include but are not limited to:
• Spillages, marks, dirt, chips, missing bulbs (except blown bulbs) and covers, etc.
• Allowing our goods to be positioned outside.
Dynamic will inform the Client within 30 days in writing of any damages and costs concerning any of the hired goods. An invoice will be sent outlining amount and type of damage with associated chargeable costs.
It is the client’s responsibility to ensure that the Letters, Numbers and Symbols are not used outside due to safety, unless otherwise agreed with Dynamic.
It is the client’s responsibility to ensure that the Letters, Numbers and Symbols are not unplugged and moved as not only will you not be insured to do this, but they need to be wired together in a certain way. Failure not to do this properly could result in all bulbs being blown and the Hirer being billed for the full cost of the LED replacements.
It is the client’s responsibility to ensure that the Letters, Numbers and Symbols are not damaged when posing with drinks near them, and always ensure that a responsible adult accompanies children.
It is the client’s responsibility to ensure that children or adults do not stand on the Letters, Numbers and Symbols.
Should any staining arise, whether by drink or dirt, the clients will be liable for the costs of repair work which will be carried out by a professional.
Should the client or the clients’s guests knock any of the Letters, Numbers or Symbols over whilst on hire and they become damaged either internally, externally or both, the Hirer agrees to pay to have the damage repaired.
If, following any damage that requires the Letters, Numbers or Symbols to be repaired, the letters are unable to be used for the next venue booked, the client agrees to pay for the sub-hire of a set of letters similar to ours in order that we may fulfil our contractual obligations.
If goods are missing at the end of the agreed hire period, Dynamic retains the right to charge for:
• The cost of replacement of goods to honour any booking(s) where the goods are required.
• The cost of replacement of goods where hired goods are permanently not returned.
• An additional hire period, charged at the item(s) daily rate.
• Additional collection charge(s) (courier, pickup, etc.).
9.Rights Reserved : Any failure by us to enforce any or all of these conditions shall not amount to or be interpreted as a waiver of any of our rights.
Photography
1.General : In the following terms & conditions "the photographer" shall mean photography supplied by Jenny Jones Photography. "The client(s)" shall be those persons defined as the “hirer”. It is agreed that the following terms set out the total agreement made between the parties and that no variation or modification of this contract shall be effective unless agreed by both parties in writing.
As the photographer will be booked a part of a package, the photographer’s terms and conditions are as stated in Dynamic Entertainments DJ hire with the added sections below.
2.Images and image reproduction
All image sizes are nominal and supplied in a jpeg format. Jenny Jones Photography will provide a pleasing colour balance but cannot guarantee exact colour matching owing to anomalous reflectance caused by a combination of certain dyes and materials especially man-made fibres. It is sometimes impossible to record on film or digitally the exact colour as seen by the human eye. A good balance of colour and black and white images will be provided unless the Client expresses in writing a preference for a different balance.
Jenny Jones Photography’s decision over all editing decisions is final. When processing images, the Photographer will endeavour to achieve a pleasing overall colour balance based on natural flesh tones. It is understood that some colours may not remain consistent throughout a set of photographs owing to variations in lighting conditions. This also applies to glare created by spectacles in certain lights and therefore it is at the risk of the wearer. It is also understood that all photographic printing is undertaken within the technical limitations of the process and that colour may not be identical over the whole range within a subject.
The colour balance of prints made at different times or in varying sizes may also be variable.
Due to the limitations of computer monitors it is understood that images may appear differently according to the specification of each monitor and that prints will not match images rendered on any particular computer monitor.
3.Copyright/Digital Files
English Copyright Law states that the copyright of photographs remains with the photographer, however Jenny Jones Photography grants the Client permission to use and make copies of all images under the following conditions:
• The images taken by the photographer are for personal use by the client and their friends and relatives. Selling, publication or any commercial use of the photographs is not allowed without prior written permission from the photographer. The client is not permitted to pass on images to any third party such as suppliers, that will be used for marketing or advertising purposes without written consent from the photographer.
• Jenny Jones Photography provides you with the right to reproduce your photos at leisure.
• The client(s) hereby allow(s) the photographer to display any photograph covered by this contract and to generally promote the business in advertising, brochures, magazine articles, websites, social media, sample albums etc. No use of the images will be made by the photographer for other commercial reason except with the written permission of the client.
Artistic License
• Jenny Jones Photography is to be the sole and exclusive professional photographer. It is understood that guests will of course want to take photos, however, the photographer must be given precedence over your guests in order to take the photographs required. Jenny Jones Photography cannot be held responsible for lack of photos if guests taking their own photos have interrupted the photographer’s work.
• Jenny Jones Photography shall be granted artistic license in relation to the poses photographed and the locations used.
• Jenny Jones Photography’s judgment regarding the locations/poses/colouration and number of images taken shall be deemed correct. Due to the vagaries of the weather and the willingness of subjects it may not be possible to capture all the images requested.
• For bookings involving a church ceremony or at certain other venues, photographers´ movements are sometimes restricted by the minister or official in charge: photographing of parts or even all of the ceremony may be restricted or prohibited, as may the use of artificial lighting. Jenny Jones Photography cannot accept responsibility for limited coverage in such cases.
• Whilst Jenny Jones Photography shall endeavour to fulfil all the Clients´ requirements, Jenny Jones Photography cannot be held responsible for non-availability of subjects or adverse conditions which may delay the progress of proceedings, preventing the coverage of certain specified shots.
Limitation of Liability
• In the unlikely event of a total photographic failure or cancellation of this contract by either party or in any other circumstance the liability of one party to the other shall be limited to the total value of the contract.
• Neither party shall be liable for indirect or consequential loss.
4.Conduct & Safety
The Photographer will not share their time or compete with other photographers or guests for the attention of the subjects. Uncontrolled conduct by any person that interferes with the photographer may seriously affect the quality of images recorded or increase the number of times they must be retaken.
If the Client is unable to control the conduct of attendees, resulting in what the Photographer feels to be an unacceptable degree of misconduct, or if any such conduct injures or damages the equipment of the Photographer, it will result in the immediate departure of the Photographer.
The Client understands in such an event, no refund will be granted and claims for damage or injury from the Jenny Jones Photography are likely to be the result.
In the unlikely event of a complaint, this should be raised by the Client with Jenny Jones Photography in writing within 10 days from the date of receipt of images.
